Information
Here you manage all master data of an employee. The data is divided into different sections, each containing specific attributes that directly affect calculations and processes in the system. Which attributes belong to which section is defined under Sections & Attributes in the settings — for example, you configure there which fields are publicly visible.
Public Profile
Contains basic information visible to all employees, such as salutation, preferred name, first and last name, email address, location, department, team, position, and company.
Personnel Information
Contains employment-related data such as status (active/inactive), employee number, employment type (internal/external), type of employment, probation period, notice period, contract end date, cost centers, supervisor, weekly hours, full-time hours, start date, and children.
The start date is particularly important — all calculations for working hours, vacation entitlements, and balances begin from this date. The weekly hours and full-time hours must be maintained correctly, as they form the basis for all time calculations and part-time quotas.
Personal Data
Contains private information such as street, house number, postal code, city, country, state, date of birth, marital status, nationality, and whether this is a primary or secondary employer, as well as the probation end date.
Payroll Data
Contains tax and social insurance information required for payroll processing, including tax ID, social security number, tax class, church tax liability, child tax allowances, health insurance type, and health insurance provider.
Bank Details
Contains the employee's banking information for salary payments, including IBAN, BIC, bank name, and an optional alternative account holder.
Changes with Effective Date
When you change master data and save, you can set an effective date to determine when the change takes effect. Changes planned for the future are marked with a gear icon next to the affected field — clicking it shows an overview of the scheduled change. The history is preserved so that old calculations remain correct, for example when an employee changes location to a different state, the previous holidays stay intact. Scheduled changes can be canceled or retroactively adjusted in the history.
