Attendance & Absence
This article describes the Attendance & Absence tab in the employee profile, where you can manage working hours, absences, and time accounts.
At the top you can navigate between months and years to view the data for any period. Below that, the tab shows the monthly progression, the working time model, and the time balance side by side. Further down, you find the account balances and the booking overview.
Monthly Progression
The monthly progression shows the current time tracking status for the selected month:
- Recorded time – Hours worked so far compared to the monthly target (e.g., 98h 18m / 160h = 61%)
- Remaining – Hours still to be worked in the current month
Working Time Model
Displays the assigned working time model including weekly hours and the daily target hour distribution (Monday–Sunday). If the employee has a zero-hour model, this is indicated accordingly.
If no location is assigned to the employee, a warning appears that holidays cannot be taken into account.
Time Balance
The time balance shows the cumulative plus or minus hours since the employee's start date. Clicking the info icon opens a detailed breakdown showing:
- Base balance – Overtime excluding surcharges
- Surcharges – Additional time credits for work on Saturdays, Sundays, holidays, or night shifts, broken down by type with the applicable percentage
- Total balance – The sum of base balance and surcharges
- Time conversion – If time conversion requests exist, approved and pending payout hours are listed, along with the resulting available balance
Account Balances
The account balances show the available absence quotas based on the assigned policies. You can toggle between Assigned and Unassigned accounts.
Assigned accounts show the absence type with its available days or hours (e.g., "60 days available" for vacation). Unassigned accounts show absence types without a policy assignment. Clicking an account opens a detail view where you can view the balance history, assign a policy, or make balance adjustments.
Booking Overview
The booking overview shows all days of the selected month. For each day, you can see the date with weekday, the start and end times, the booking type (e.g., Home Office, Office), the status (approved, pending, etc.), the hours worked that day, the difference to the daily target, and the assigned project.
If surcharges apply for a day (e.g., for Saturday, Sunday, or holiday work), the additional surcharge hours are also displayed for that day.
Days before the employee's start date are marked accordingly and have no target hours.
To create a booking, click on a day in the table or calendar, or use the Make booking button.
Recording Attendance and Absences
Bookings can be created by administrators in this tab or by employees themselves. For detailed instructions on how to record attendance and absences, see Time Tracking.
Policies
Absence policies define the available quotas for each absence type (e.g., 30 vacation days per year). Policies are assigned to employees in this tab and determine the account balances shown above.
