Offboarding Templates

Create and manage standardized offboarding processes for departing employees.

Overview

Offboarding templates structure the exit process for employees. They function similarly to onboarding templates but are activated when employment is terminated.

Create Template

Basic Settings

  • Name: Template designation (e.g., "Standard Offboarding", "Manager Exit")

Add Steps

After creating the template:

  1. Create steps: Under Offboarding Steps
  2. Assign steps: Select from available steps
  3. Assign groups: Assign responsible Groups
  4. Define due dates:
  • Before exit date (e.g., -14 days)
  • On exit date (0 days)
  • After exit date (e.g., +7 days)

Activation

Important Note

The offboarding template is only activated when employment is terminated:

  1. Open employee profile
  2. Navigate to Offboarding
  3. Terminate employment
  4. Template is automatically assigned

Example Templates

Standard Offboarding

  • Deactivate access (0 days)
  • Return company property (-1 day)
  • Conduct handover meeting (-7 days)
  • Create work reference (+7 days)

IT Offboarding

  • Set up email forwarding (-1 day)
  • Delete accounts (0 days)
  • Backup data (-3 days)
  • Collect hardware (-1 day)

Process Flow

  1. Terminate employment: In employee profile
  2. Template activates: Automatic assignment
  3. Tasks generated: Based on due dates
  4. Groups notified: About pending tasks
  5. Track progress: In das
