The Monthly Payroll Process

This article explains how to manage, review, and approve all relevant data for preliminary payroll and generate an export file in Excel format.

How Does the Monthly Payroll Process Work?

The monthly payroll process in Emplovia allows you to consolidate, review, approve, and export payroll-relevant data. You can then send the Excel export to your payroll provider, who completes the monthly payroll cycle.

The following steps are part of the monthly payroll process:

  1. Review data – Go to Payroll and select a company entity. The payroll table is in the status Under review. Review highlighted data changes for individual employees in the Personnel Data, Salary, and Absences tabs. Click on an employee to see more details about data changes. For more details, see the Preliminary Payroll Overview.
  2. Approve payroll – Click Approve payroll and confirm in the pop-up. The payroll table is now frozen and its status changes to Approved.
  3. Download Excel file and send to payroll provider – Go to Documents and download the generated Excel file. Send this file to your payroll provider to finalize the payroll period.
  4. Create additional exports (optional) – If additional data needs to be captured – for example, attendance for hourly wages or absences approved after the payroll was released – create additional exports by clicking Create Export.

If your payroll provider has access to Emplovia, they can retrieve the data themselves.
